Is GoHighLevel a good CRM? An honest look
By FixGHLLast updated
GoHighLevel is a good CRM for coaches, agencies and local businesses that sell through calls, appointments and follow-up. Contacts, deals, calendars, texts, emails and automations share one record in one account. Teams with long, complex sales cycles that live almost entirely inside their CRM may be better served by a dedicated sales CRM.

Is GoHighLevel a CRM?
Yes. GoHighLevel has a full CRM at its core: contacts, companies, opportunities in pipelines, custom fields and custom objects. What makes it different from a standalone CRM is that the same contact record also drives the inbox, calendars, forms, funnels and workflows, so you rarely need a separate tool to act on your data.
| CRM object | What it holds |
|---|---|
| Contacts | People, with standard and custom fields, notes and tasks |
| Companies | Businesses, with name, phone, email, website, address and custom fields |
| Opportunities | Deals moving through the stages of a pipeline |
| Custom objects | Anything else you track, such as properties, projects or policies |
| Associations | Links between records, such as a contact to a company, or two contacts labeled as colleagues |
Associations and custom objects are set up under Settings > Objects. The same screen lets you rename the standard objects, so Contacts can become "Clients" and Opportunities can become "Deals" if your team already uses those words.
What is the GoHighLevel CRM good at?
The GoHighLevel CRM is strongest at turning a new lead into a booked call or a sale without anyone copying data between tools. A form fills the contact record, a workflow texts and emails them, the calendar books them and the pipeline tracks the deal. Everything that happened to that person sits on one record.
- One record for everything. Calls, texts, emails, form submissions, appointments and payments attach to the same contact.
- Pipelines you can see. Opportunities move left to right through stages, and you can run several pipelines, for example one for new leads and one for renewals.
- Saved views. Opportunity smart lists save your filters, sorting and columns, and you can share each one with chosen users as view-only or editable.
- Duplicate control. You choose whether a matching email or phone updates the existing contact or creates a new one, and a Manage Duplicates tool merges up to 10 records at a time.
- Custom objects on every plan. HighLevel says Starter, Unlimited and Pro can each create up to 10 custom objects per sub-account, with up to 300,000 records per object.
- Automation built in. Workflows in the same account can create and update opportunities, so you don't need a connector between your CRM and your follow-up tool.
Where does the GoHighLevel CRM fall short?
GoHighLevel covers the CRM basics most service businesses need. The gaps show up in the more advanced features, some of which are new, still rolling out or capped. If your sales team spends all day in the CRM and relies on detailed reporting, test those parts during the trial before you move.
- Some features are still maturing. HighLevel's own help center says bulk import of associations between objects is "not yet" available, and API and automation support for those associations is "coming soon."
- Custom objects have limits. They do not work in email campaigns, bulk email or SMS, Conversations, funnels, calendars or payments, and the hard cap is 10 per sub-account.
- Merges are permanent. Merging duplicate contacts cannot be undone, so a careless bulk merge can cost you data.
- CSV imports always deduplicate. Imports merge on email or phone regardless of your duplicate setting, which surprises people who expect two records.
- It needs an owner. A CRM is only as good as its fields, stages and habits. In our experience, accounts with no one responsible for them fill with duplicate contacts and stale deals.
Is GoHighLevel better than a dedicated sales CRM?
It depends on where your sales actually happen. If deals are won through booked calls, quotes and fast follow-up, GoHighLevel usually does more for less effort because marketing and CRM share one system. If your team runs long deal cycles with many people per account, a dedicated sales CRM may fit better.
| GoHighLevel is the better fit if you | A dedicated sales CRM may fit better if you |
|---|---|
| Sell through booked calls, appointments or quotes | Run long B2B deal cycles with many decision makers |
| Want texts, emails and booking on the same record | Already have separate tools for marketing and booking that work well |
| Are an agency managing CRMs for several clients | Need reporting and forecasting as your main use of the CRM |
| Want follow-up to run automatically after every lead | Have a sales operations team that customizes the CRM full time |
If you are weighing the whole platform rather than just the CRM, our honest GoHighLevel review covers the wider pros and cons.
What we see in real accounts
The biggest problem we see, most of the time, is a cluttered account: a lot of unusable data piled up in bulk. It makes the business harder to run and confusing to work in. A typical case is thousands of contacts with hundreds of duplicates among them, and the same thing happens with duplicate custom fields.
Once it piles up, the business can't sort it out, and the clutter ends up causing conflicting workflows and triggers. Cleaning up an account without losing anything is now a service businesses pay for. That is how much it matters to keep the CRM clean and to the point from the start.
How do you set up the GoHighLevel CRM properly?
Set the structure up before any data goes in. Create custom fields, choose your duplicate rules and build pipelines first, then import contacts and opportunities, then save smart lists for the views your team uses daily. Importing first and organizing later is how accounts end up with messy, duplicated records.
- Decide your fields. List what you need on every contact and create those custom fields first. HighLevel requires custom fields to exist before you can map them in an import.
- Set duplicate rules. In Settings > Business Profile, set Contact Deduplication Preferences to match on email, phone or both.
- Build your pipelines. Go to Opportunities > Pipelines and keep each pipeline to the stages that matter. HighLevel gives the same advice.
- Import your contacts. In Contacts, click Import Contacts, upload a CSV under 30 MB with a header row and map each column. Only admins can import.
- Check the import. Review the stats and download the error log from the Bulk Actions page.
- Save smart lists. Create the filtered views each person needs, such as "New leads this week" or "Proposals sent," and share them with the right users.
- Connect the automation. Build workflows that create opportunities and move them between stages, so the pipeline stays current without manual updates.
Our glossary explains opportunities and pipelines if those terms are new, and our GoHighLevel setup checklist covers the rest of the account.
Can you move your existing CRM into GoHighLevel?
Yes. Any CRM that exports a CSV can be imported, and HighLevel has a direct importer for HubSpot. It brings across contacts, companies, deals as opportunities, custom properties, pipelines, stages, notes, tasks and emails, though emails arrive read-only and attached files cause errors. Other platforms usually need a CSV export and some manual rebuilding.
- HubSpot: open the Import menu in Contacts, Companies or Opportunities, choose Import data and connect HubSpot. HighLevel asks you to turn on Allow duplicates for contacts and opportunities first, and deals with no contact cannot be imported.
- Zoho and others: HighLevel's Zoho guide describes exporting contacts and deals as CSV files, recreating custom fields and pipelines by hand, then importing. Forms, calendars and automations are rebuilt.
If you would rather not handle the move yourself, our HubSpot to GHL migration service covers it, and our GHL setup service builds the CRM structure, pipelines and automations in your account.
